<p>We are in a time of financial difficulty, it will be very important that you manage your money this summer and use Mr. Judge and the budge form to balance your budge.</p>
<p>What to do if you get in financial trouble this summer:</p>
<p>- Call us right after the event and lets discuss how you can save money or earn more money.</p>
<p>- Make payment plans</p>
<p>- Cut out things that aren&#8217;t necessary</p>
<h4>Email Marketing</h4>
<p><strong>Have you sent out your event schedule and a note to your participants?</strong> Every time we send out an email, we receive Membership payments and &#8220;click throughs&#8221; to our website.</p>
<p><strong>Are any of your sponsors having sales or specials? </strong>Show them what their sponsorship money is paying for. <strong><br />
</strong></p>
<p><strong>Have you emphasized the importance of using the INT email marketing plan?</strong> Your Gold sponsors receive 6 email marketing campaigns per season. Send your sponsors a quick email about our email marketing program. Email marketing is an innovative and inexpensive way to reach directly into the home and offices of potential customers.</p>

<h4>Get Creative</h4>
<p>We are a grassroots organization, lets think out of the box this season to bring in new recreational skiers and riders. Have an idea, please email us and we&#8217;ll share it with the other state coordinators.</p>
<p>- Contact local ski clubs and ask them to send out your schedule</p>
<p>- Add all ski clubs, collegiate teams, potential sponsors, local dealers, facebook friends, etc to your email database.</p>
<p>- Contact local snow ski clubs and shops, send them your schedule and partner with them.</p>
<p>- Contact other local activity groups, add them to your email database, and send them your schedule.</p>
<h4>Event Guides</h4>
<p>Hopefully you have all taken a look at the event guide templates and tried them out. I also put a local sponsorship proposal online to work with the 4 page event guide. Please check out www.intleague.com/i for event guide and sponsorship proposal information. You are required to use these template pages this year.</p>

<p><strong>Mr. Judge-</strong> If you  have not downloaded it, wait one more week. Jon has a few more changes. A new  Mr. Judge Handbook is coming out soon.</p>
<p><strong>Insurance Payments-</strong> Due Date is 30 days prior to the event. Check date the 1st of the month.</p>
<p>- If your event  is in May, your check date will need to be April 1st. All checks need to be  dated for the 1st. This will make INT&#8217;s banking much simpler.</p>
<p>- If your event is July 25 &amp; 26, then the check needs to be dated June 1st.</p>
<p>- INT cannot  float you the money this year, if you&#8217;re checks are not in, you will not be  having an event.</p>
<p><strong>Get your pay pal  done</strong>- This way you will have cash flow to send in your insurance and marketing  fee checks.</p>

<p>Pay pal has some cool new tools available this year. Get your banking information together and spend an hour or so putting together your account. It takes 3-5 business days before you can actually add “buy now” buttons to your website, so give yourself enough time before you want to accept online payments. It is really not as hard as you may think, it is as simple as following the set up steps. Unfortunately this is not something we can do for you, but we promise it will increase your participation and cash flow this summer.</p>

What we do in Washington is create two word press pages for online . One with Pre-Reg Prices and one with On-site prices. We Post the pre-reg page until the week before the event, then unpublished it and publish the On-site reg page. This way we get our extra $10 bucks from people who don’t sign up early. If you don’t remember how to set up a new word press page, give us a call and we’ll walk you through the steps.</p>
<h4>How to Write the Pay Pal Code</h4>
<p>1. Open a “Notepad” document on your computer. Typically found under Accessories on the Start menu.</p>
<p>We use notepad because it is an easy place to keep the code organized and doesn’t add any unnecessary formatting. Type in the headings you want. See Notepad image below.</p>
<p>2. Log-in to Word Press and open you &#8220;Event Registration Page&#8221;</p>
<p>3. Log-in to your pay pal business account: Once you start this process, it is time sensitive. You must have everything is order.</p>

<p>We have put together an 11&#215;17 Event Guide (4 pages). There is space for your schedule and sponsor ads. This will be something that you can slide into the INT Insider. If you need more pages for local sponsor ads, we will send you the template for an additional 4 pages. We are doing this to make it easier for coordinators and streamline our marketing material. Look for that on the forms directory this month.</p>
<p>Contact Rob about putting your event guide online at rob@studio8productions.net. He can also help you formulate sponsors ads for a fee.</p>
<h4>Ropes and Handles from Straightline</h4>

We don&#8217;t want to abuse our sponsorship, so if your ropes and handles are in good shape, please use them for another season. <p>This report went out to all of our National Sponsors. We published this report because we want them to know how hard you are working for them. No slacking this season! They will be working with you on a grassroots level and taking full advantage of their sponsorship. Make sure your website it up to date, your banners are up and straight, and you are playing the PA announcements (new announcements for 09 coming soon).</p>
<h4>How to Put Together a Great Tour Team</h4>
<p>1. Some states offer a discount on skiing and riding, others offer one free division.</p>
<p>2. Have a preseason meeting, even if it is just the Friday before your first event.</p>
<p>3. Make &#8220;Tour Team&#8221; t-shirts. Some states create a special shirt. Last year in Washington, I went to office depot and got some special paper. I printed out &#8220;Tour Team&#8221; and ironed them onto our existing INT shirts. This is a really inexpensive option that makes people feel good, and is pretty easy.</p>
<p>4. <strong>Hand out the tour team packet so that your expectations are clear. </strong><a onclick="javascript:pageTracker._trackPageview('/downloads/wp-content/uploads/Forms/SC/INTLeagueTourTeamPackets.doc');" href="http://intleague.com/wp-content/uploads/Forms/SC/INTLeagueTourTeamPackets.doc" onclick="javascript:pageTracker._trackPageview('/downloads/wp-content/uploads/Forms/SC/INTLeagueTourTeamPackets.doc');" target="_blank">Tour Team Packet</a></p>
<p>5. We often do practice for the tour team on Fridays before the event, free of charge, after set up is complete. Then&#8230;if we have time, we pull practice for the participants and charge them.</p>
<p>6. We often take our tour team out for pizza or Mexican on Sunday after tear down.</p>
<p>BEWARE: Only do these things if you have it in the budget. Don&#8217;t stretch yourself thin just to please your team. You can often reward them with positive praise and that will be enough. Managing volunteers can be a tough job, set up clear expectations and be gentle with people and they will work hard for you.</p>
<h5>Tips on Managing Volunteers:</h5>
<p>- <strong>Target Volunteers.</strong> The most effective style of volunteer recruitment is &#8220;targeted recruitment.&#8221;  This method is based on identifying a needed volunteer job and then targeting an individual or group(s) of individuals who should have the skills or interests necessary to fulfill the job&#8217;s responsibilities.</p>
<p>- <strong>Encourage a team approach.</strong> Many hands make light work.</p>
<p>- <strong>Train your volunteers.</strong> Take the time to explain to them exactly what you are looking for. Be especially clear when training your wakeboard judges and recorders. Take your drivers out and show them exactly what path you want them to take. Explain to the dock starter and registration person what you would like to have them do. This is why it is great to have a pre-season meeting. You will have less problems if your expectations are clear.</p>
<p>-<strong>Understand why your tour team works hard for you.</strong> Unlike paid staff, volunteers are not dependent upon the organization for pay, and in fact are not motivated by pay. Their sources of motivation are often different from paid staff, they gain different benefits. All supervisors need to understand the dynamics of working with unpaid staff, and understand why volunteers donate their time and talents to the work of the organization. The Independent Sector (1997) lists eight primary reasons given by adults in the United States for their volunteer service:</p>
<p>* A chance to make a difference<br />
* A chance to use a skill or talent<br />
* To develop professional experience or contacts<br />
* A way to express a religious faith<br />
* An avenue to a more balanced life<br />
* An opportunity to give something back<br />
* An opportunity to meet new people<br />
* An opportunity for personal growth and self-esteem</p>
<p>- <strong>Be delicate when dealing with problem tour team members.</strong> &#8220;Eckles, Carmichael, and Sarchet (1983) recommend a first warning that clearly communicates the consequences of a second incident. If a second incident occurs, disciplinary action should be immediate, consistent, and impersonal&#8230; Releasing a volunteer from a position is one of the most difficult tasks in volunteer administration. To prevent negative and unfortunate situations from developing, it is necessary to have a sound system of recruitment, screening, selection, orientation, training, placement and supervision.&#8221;  (Fisher and Cole, 1993)</p>
<p>- <strong>Delegation. </strong>Volunteers are motivated when given encouragement from coordinators and delegated responsibility with authority. Delegation is defined as empowering one person to act for another, which is how we enable volunteers to do their work. Delegation is one of the most critical elements in the management of nearly all organizations and programmes. When delegation is successful all members in the group are involved in activities.</p>
<p>-<strong>Proper placement is a key to productive volunteers. </strong>Place volunteers in jobs they want to do<strong> </strong>and are good at. Be sure to give them breaks, and time to get realy before them compete. <strong><br />
</strong></p>
<p><strong>Volunteers remain active and engaged when they:</strong></p>
<p>* Feel appreciated<br />
* See their presence makes a difference<br />
* Have opportunities for personal growth<br />
* Receive public/private recognition<br />
* Have a sense of belonging and teamwork<br />
* Are involved in problem solving, decision-making, etc.<br />
* Feel capable of handling the tasks<br />
* See that something is happening<br />
* Feel their personal needs are being met</p>
<p><strong>Volunteers lose interest and leave when they:</strong></p>
<p>* Find discrepancies between expectations and reality<br />
* Do not feel they are making a difference<br />
* Do not receive praise or reward<br />
* Have no variety and the work is too routine<br />
* Lack support from co-workers<br />
* Do not have opportunities for personal growth<br />
* Are not meeting personal needs<br />
* Believe there is little opportunity for initiative or creativity<br />
* Experience tension among co-workers</p>

In the new year, be encouraged, your sponsors will be looking to you more then over to help them find new customers. Many of our National Sponsors are coming to us to help them sell boats and product in ways that they have not in the past. They are encouraging their dealers to be more involved on a local level. We expect more dealers coming out to your events, bringing boats and leaning on your marketing tools. Please be quick to help and promote them. Consider season’s pass deals and other ways to get your participants to commit to a full season and save money. You may have to cut some costs this summer, but have faith that this is a temporary economic situation and things will look up soon.</p>

<h4>January Marketing Tip: How to Get More Email Addresses at the Boat Show</h4>
<p>Get more names at the boat show by giving away a free entry fee or seasons pass. People are more likely to sign up if they think that they could get something for free. This way you will get a new member and they will probably bring friends and family to compete as well.<br />

<p>We can set up a sign up form on your website if you would like to do an online drawing for a free entry fee or season’s pass. Your sponsors may also be interested in donating product to give away to help grow your numbers and advertise for their company.</p>

<p>Pay pal has some cool new tools available this year. Get your banking information together and spend an hour or so putting together your account. It takes 3-5 business days before you can actually add “buy now” buttons to your website, so give yourself enough time before you want to accept online payments. It is really not as hard as you may think, it is as simple as following the set up steps. Unfortunately this is not something we can do for you, but we promise it will increase your participation and cash flow this summer.</p>

What we do in Washington is create two word press pages for online . One with Pre-Reg Prices and one with On-site prices. We Post the pre-reg page until the week before the event, then unpublished it and publish the On-site reg page. This way we get our extra $10 bucks from people who don’t sign up early. If you don’t remember how to set up a new word press page, give us a call and we’ll walk you through the steps.</p>

<p>Here is the 411 on wireless PA: Set up your announcer just like always with mic and music. The signal goes from your MIXER (line level NOT speaker level) &gt; wireless transmitter which sends the signal across the lake &gt; wireless receiver&gt;compressor&gt;amplifier&gt;speakers. Be sure you get the “instrument” version.</p>

<p>I have had best luck putting 6 speakers in the back of an enclosed cargo trailer and aiming it at the shoreline. Your announcer will run into some latency which is the measure of time delay from the time a voice speaks into the mic until the sound is heard. Kind of like an echo. Get used to it, it is not correctable. If you have speakers across the lake and speakers near the announcer this will be very obvious at which point a digital delay unit is required. <p>We are doing our best to cut cost for every one and one of the ways that we thought would save us both time and money would be to send you each the boat show file.</p>
<p>1. Send the text of what you want on the boat show poster to Nanette and she will place the information on the poster for you.</p>
<p>2. She will send it back to you and you can have it printed at your local office depot.</p>
<p>3. If you need more tablets, let us know and we will mail you some.</p>
<p>The size would be 11x 17 so the cost shouldn’t be very much. You can print as many as you need and they will look professional.  We have 3 main goals with this poster. We wanted to keep it simple, give basic information and drive people to our website.<br />
Video for Boat Show</p>
<p>We are shipping out the US Championships video to use as a tool to sell sponsorship and at the boat shows. Unfortunately we were not really happy with it, but it will work for now. We are also sending a copy of the video that the young man from Japan made.  It is a must see. He sent the dvd  to “A very handsome Mr. Rick!” It is funny and shows just how much fun everyone has at that event. You should have those in the next week or so.</p>
<h4>To Do List for January and February</h4>
<p>January</p>
<p>- Set up tentative schedule for magazines and send it to INT ASAP so it can be printed in waterski and wakeboard magazine, wakeworld, etc.</p>
<p>- Send Jac the schedule to be put on the INT Website Calender.</p>
<p>- Start communicating with your sponsors and potential sponsors. Get sponsorship contracts signed and post their information on the webpage. See the resources page for 2009 local sponsorship contracts.</p>
<p>- Prepare marketing materials for the boat shows, i.e. posters, address cards and boxes.</p>
<p>- Email notices - Email your participants with Boat Show and Sponsor Information</p>
<p>- Keep the website updated with Boat show information and schedule information.</p>
<p>- Email Jac new sponsor logos to put on the left bar of your state pages. Please also send web addresses, so that the logos can be linked.</p>
<p>February (Boat Show Season)</p>
<p>- Finalize event schedule and lakes</p>
<p>- Contact your sponsors to find out what their booth space will be at the boat show, post that information on your website</p>
<p>-  Email your participants and post on your web page the boat show information, and sponsors booth space numbers.</p>
<p>- Email your tentative schedule to your participants.</p>
<p>- Attend boat shows and visit sponsors</p>
<p>- Set up your Pay Pal Account</p>
<h4>Lake Contracts</h4>
<p>Now it is time to track down all your lake owners or city/state municipality and get that lake contract signed. It is mandatory that you send a contract to the home office for each event, if you do not INT has the right to cancel the event. As we always say, “A hand shake is not a hand shake anymore.” So get everything is writing. Be explicit about all expectations including porta-potties, dogs on site, camping, rental fee, dates, etc. The contracts and instructions are in your handbook and on the resources website.</p>
<h4>Hospitals</h4>
<p>It is the middle of winter. Now is a good time to spend some time on the Internet gathering directions from your sites to the nearest hospital. Put these in your portable file box for the summer.</p>
<h4>More Winter Reminders</h4>
<p>- Your last stop must be before September 1st or Labor Day weekend. Keep this in mind when you are putting together your schedule.</p>
<p>- Talk to your neighboring states about Sponsorship prices, if you want to raise prices, be sure you let other states know so they can do the same.</p>
<p>- Let INT know if you are not getting the dealer support you need so they can speak with the manufactures.</p>
<p>- Contact your local clubs and ask them to put your schedule on their website and in their newsletters.</p>
<p>- Contact your local collegiate teams, ask the captain to forward your schedule onto the rest of the team.</p>
<h4>Mr. Judge Prospect List</h4>
<p>As you are collecting prospect competitor information at boat shows, etc., be sure to enter that information into Mr. Judge in the prospect section. Enter email addresses so that you can email them information about your events. The home office needs email addresses to send out national messages. If one of the prospects comes to the event, it is easy to just transfer their information into the registration form in Mr. Judge.</p>

<h5>Upload a Picture:</h5>
<p>Above the text box there is a Add Media button.<br />
Select Add an Image<br />
Browse for the picture or logo on your computer that you want on your website.<br />
Do Not Title the images.<br />

Then Send to Editor. The image will appear in the text box.</p>
<p>If you want to delete an image, you can select it and delete it. But be sure to go back into the Media Gallery and delete the file from the INT server.</p>
<h4>Linking words or pictures to a website:</h4>
<p>Highlight the words or image you wish to hyperlink. Click the button on the tool bar that looks like a chain.<br />
That will bring up a screen where you can enter the complete web address.<br />
Select Open in a New Window, and title the page you wish to link to. Insert.</p>
<p>If you are copying and pasting links, check to make sure that they work and are correct.</p>
<p>To undo a hyperlink, highlight the words or image and click the button next to the chain that looks like a broken chain.</p>
<h5>News Flash:</h5>
<p>A news flash appears on each of the pages on the upper left hand side. If you would like to announce an event or something on the national pages, we can put that up for you.</p>
<h5>Editing Shortcut:</h5>
<p>As long as you are logged into World Press, a button will appear on the bottom of each of your pages that says Edit This Entry. If you click that it will take you to work press where you can quickly edit the page and save.</p>

<h5>Spacing</h5>
<p>Having problems with too much space between your lines? Try holding the shift key while you hit enter. This will single space your lines.</p>
<h4>How to put your Local Sponsors Logos on the Left -</h4>
<p>Create New Page- Name it: Kansas Sponsors</p>
<p>Make sure these setting are correct:</p>

<p>Then you can upload your sponsor logos and they will appear on the left of all of your pages.</p>
<h5>Putting the Logos in a Box</h5>

We use Macromedia Fireworks, you can download a free trial of that or you can use Photoshop.</p>
<p>If you are using Fireworks: Open the template in Fireworks.<br />
Select File, Import, Browse and find the sponsor logo, Open.<br />
Put your curser in the box and hold right click on your mouse, and drag the image until it is the right size.<br />
You can use your arrows to center the image.<br />
When it looks right. File, Save as- Save the new image.<br />
File, Export. Rename sponsorname.gif. And your done.<br />
Now all you have to do it upload it to the website. - See the directions below</p>
<p>If you are not savy with graphic editing, send Jac sponsor logos and she will format them for you.</p>
<h4>Misbehaving Fonts and Colors</h4>
<p>To get the text to behave after it starts changing fonts and colors on you , you can copy and cut the entire body of text (or the portion that is misbehaving plus a few lines above it), and paste it into the program called &#8220;notepad,&#8221; to clean it up. Notepad takes the formatting out of the text. Then recopy and paste it back into your body of text. You&#8217;ll have to redo a few formatting things like bold and italics.  The formatting code is usually above the text so you have to cut text far enough back to get that code.</p>
<h4>Sponsor Logos on Sponsor Page and Text</h4>
<p>To get the text to line up next to the image, click on the existing image and then click the &#8220;right align&#8221; button usually used for aligning text. After I clicked &#8220;right align&#8221; the text wrapped around the image. Then I clicked &#8220;left align&#8221; to get the image to line up, back on the left side.</p>

<p>Follow      steps 1-3 (You can skip step 2)</p>

<p>At the      bottom select, create button, or save changes.</p>
<p>It      will take you to a window with code in it.<br />
Select      and copy the code.<br />
Go      over to your notepad document and paste the code.</p>

Once      you have all the code and headings in place. Save this text document.<br />
Go to your &#8220;Event Registration&#8221; page in word press.<br />
On      your event registration page, select the html tab. You never want to work      on the &#8220;Visual&#8221; tab.<br />
Copy      the text from your Notepad, and paste it in html text box.<br />
You      can link the first steps to the survey and the membership page using the &#8220;link&#8221;      tool.</p>

Then      push save.</p>
<p>Your word press &#8220;Event Registration&#8221; page may not be published yet, be sure to set the Publish Status to Publish.</p>
